We are seeking a detail-oriented and proactive HR and Administration Executive with 3 to 5 years of solid experience to join our team in the United Arab Emirates. The ideal candidate will play a key role in managing employee onboarding, visa coordination, and overall administrative support to ensure smooth organizational operations. This role offers an immediate start for qualified professionals who are adept at handling UAE labor compliance and administrative tasks.

Key Responsibilities

This role involves managing various crucial HR and administrative duties including but not limited to:

  • Handling the complete employee onboarding process with accuracy and efficiency.
  • Coordinating visa-related procedures such as applications, renewals, and cancellations in collaboration with the PRO.
  • Managing employee medical insurance enrollment and renewals by liaising with insurance providers.
  • Maintaining precise attendance records to support monthly payroll operations.
  • Organizing and updating employee files and HR documentation to maintain compliance and accuracy.
  • Supporting recruitment efforts by scheduling interviews and communicating with candidates.
  • Preparing essential HR documents like contracts, offer letters, and disciplinary correspondence.
  • Overseeing leave management and maintaining accurate leave records for employees.
  • Facilitating employee offboarding including clearance processes and final paperwork.
  • Ensuring strict adherence to company policies and UAE labor regulations at all times.
  • Managing company vehicle documentation, including registration renewals (Mulkiya) and related paperwork.
  • Monitoring office inventory and restocking pantry and stationery supplies regularly.
  • Coordinating office maintenance and working with vendors and service providers to meet administrative needs.
  • Handling courier services, document filing, and providing general administrative support as needed.
  • Performing any additional HR and administrative tasks assigned by management.

Required Skills and Qualifications

  • 3 to 5 years of hands-on experience in human resources and office administration, preferably in the UAE.
  • Strong understanding of UAE labor laws, visa processing, and company HR policies.
  • Experienced in coordinating visa procedures and medical insurance for employees.
  • Excellent organizational skills combined with effective communication and multitasking capabilities.
  • Proficient with Microsoft Office programs including Excel, Word, and Outlook.
  • Ability to operate independently, handle confidential information discreetly, and meet deadlines.
  • Ready for immediate joining.

Preferred Candidate Profile
