Key Responsibilities
The Executive Secretary will play a central role in ensuring smooth office management and HR coordination. Responsibilities include:
- Overseeing daily office operations and managing various administrative duties effectively.
- Coordinating the complete mobilization process for newly hired employees, including visa processing, medical tests, and onboarding documentation.
- Managing employee Iqama renewals, annual health insurance updates, passport validity checks, and other personnel record maintenance.
- Arranging both domestic and international travel bookings strictly adhering to company policies and budget limits.
- Handling general office tasks such as drafting professional correspondence, managing calls, and welcoming visitors.
- Maintaining precise and up-to-date employee records and documentation.
- Coordinating office supplies, liaising with vendors, and managing service providers to uphold a professional work environment.
- Scheduling interviews, preparing meeting agendas, and taking minutes when necessary to support HR and operational activities.
Required Skills and Qualifications
Suitable candidates will have a proven track record with 4 to 5 years of experience in executive secretarial, office coordination, or HR-related positions. Additionally, they must possess:
- Strong organizational and multitasking abilities, with excellent time-management skills.
- Fluency in both English and Arabic, with superb written and verbal communication skills.
- Competence with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
