Job Overview
We are seeking a dedicated Reception and Administrative Support Officer to join our team in Dammam. This role focuses on managing front office operations efficiently while ensuring smooth administrative workflow in compliance with company policies. The ideal candidate will act as the first point of contact for visitors, coordinate communication, handle documentation, and support various office activities to maintain an organized and productive environment.
Key Responsibilities
The role involves a variety of tasks to support office activities and maintain a professional reception area, including:
- Coordinating daily office operations to ensure compliance and efficiency.
- Monitoring visitor access and maintaining security protocols in coordination with the Security team.
- Handling inventory and supplies related to the reception and office areas.
- Providing excellent customer service by addressing queries, answering phone calls, and directing visitors appropriately.
- Receiving and sorting incoming mail, faxes, and deliveries.
- Scheduling appointments for visitors and managing meeting room arrangements, including catering for training sessions.
- Maintaining and reviewing office equipment such as fax machines and copiers.
- Assisting with admin workflow management by printing and forwarding requests to relevant staff.
- Managing canteen operations, coordinating with suppliers, and processing related invoices.
- Overseeing transportation requests and dispatching drivers.
- Handling supplier invoice checks and supporting finance approvals.
- Maintaining accurate filing, documentation controls, and archiving practices.
- Addressing issues related to invoices and shipping delays with express mail providers.
- Organizing employee memberships for sports clubs and processing required documentation.
- Providing support to colleagues during their annual leave periods as needed.
- Carrying out other administrative tasks assigned by management to meet job demands.
Required Skills and Qualifications
