Job Overview

We are seeking a skilled Document Controller to join our team in Dammam, Saudi Arabia. Reporting directly to the Project Manager, you will be responsible for managing all project documentation, ensuring seamless communication between vendors, clients, and project engineers. This role is crucial in maintaining document control standards that support efficient project progress and contractual compliance.

Key Responsibilities

As a Document Controller, you will take charge of storing, organizing, and distributing all project documents received from various stakeholders. Your duties will include analyzing and tracking document progress according to contractual requirements, identifying any discrepancies, and recommending appropriate solutions. Attending regular meetings with project teams and coordinating document-related updates will be part of your oversight responsibilities. You will also oversee formal communications internally and externally, maintain all correspondence in an orderly manner for easy access, and ensure quality checks are conducted as per administrative guidelines. Collaborating closely with coordinators and other team members to support smooth document workflows is essential.

Required Skills

  • Exceptional attention to detail with strong analytical abilities to review and interpret complex documents.
  • Excellent communication skills, both written and verbal, to effectively liaise with project teams and external contacts.
  • Proficiency in document management, including presentation and reporting capabilities.

Qualifications and Experience

Candidates should bring 5 to 8 years of hands-on experience in document management within project environments. You will be expected to coordinate information flow across departments, ensuring timely progress and adherence to project schedules. Expertise in setting up and maintaining comprehensive project files to keep updated records is vital. Identifying and resolving document-related issues or escalating them appropriately throughout the project lifecycle is a key part of your role.

Experience with document requisitioning, expediting, and storage tools such as Excel, Smart Plant Materials (SDTA), STAC, and SharePoint is required. Managing document tracking systems from initial requisition to final closeout of material and equipment purchase orders and generating reports to maintain project oversight is expected.
