Job Overview
We are urgently seeking a Sales Coordinator to manage the complete sales inquiry process and ensure efficient collaboration between sales, operations, and management teams. This role involves supporting the Division Manager with executive tasks and contributing to key business initiatives like tender submissions and strategic reporting.
Key Responsibilities
The Sales Coordinator will be responsible for handling incoming sales inquiries from multiple channels, assigning them to the appropriate sales personnel, and following up to ensure timely quotation submissions. Maintaining a centralized log of inquiries, client interactions, and closures will be essential for smooth tracking.
Additionally, the role requires drafting client communications, coordinating internally with operations, accounts, and administration, and assisting the Division Manager by preparing meeting minutes, managing schedules, and acting as a communication bridge between departments, clients, and vendors.
Supporting tender preparations by compiling technical and financial documents, ensuring compliance, and meeting deadlines is a key part of the job. The Sales Coordinator will also contribute to business development activities by supporting various service divisions such as Pest Control, Cleaning, Security, MEP, and Fire & Safety, including lead generation and marketing coordination.
Required Skills and Qualifications
- Excellent verbal and written communication abilities in English
- Familiarity with pest control or facility management services is a plus
- Proficiency in MS Office, email communications, and calendar management tools
- Strong organizational skills with attention to detail and a proactive approach
- Ability to handle multiple tasks efficiently and meet strict deadlines
Performance Expectations
- Respond to inquiries within 24 hours
- Submit quotations within 48 hours after site inspection
- Maintain punctual and accurate documentation of meetings and schedules
- Ensure zero missed deadlines for tender submissions
- Facilitate effective communication across all involved stakeholders
