Job Overview
We are seeking a detail-oriented Administration Officer to join our Facilities Management team in Bahrain. This role involves supporting various administrative duties related to workers’ accommodation, housekeeping, canteen services, subcontractor operations, and other associated tasks. The ideal candidate will play a key role in ensuring smooth operational workflows and efficient communication between internal teams and subcontractors.
Key Responsibilities
The Administration Officer’s main duties include processing invoices promptly, tracking payments, and coordinating with the Accounts department as needed. Managing subcontractor payroll entries by processing timesheets to guarantee on-time payments is a crucial part of the job. The officer will also ensure subcontractors submit their invoices within deadlines and assist with month-end closing by booking invoices on time.
Maintaining and updating employee master records is essential, including collecting necessary documents, worker details, and compliance records. The role requires monitoring subcontractor camp needs, manpower deployment, and maintaining accurate records of communications, approvals, attendance, and follow-ups.
Additional responsibilities encompass handling manpower inquiries, supporting onboarding and exit processes, and maintaining audit records. The officer will also assist in day-to-day facilities management tasks such as coordinating maintenance, waste management, internal and external audits, workers’ accommodation, and housekeeping as needed.
Required Skills and Qualifications
- 3 to 5 years of relevant experience in administration or facilities support roles
- Degree or Diploma in Administration or a related field
- Excellent verbal and written communication skills with a customer service mindset
- Multilingual abilities are preferred to effectively communicate with diverse workforce
- Proficient in MS Office, including Excel for tracking and reporting
- Strong multitasking capabilities with effective prioritization
- Excellent follow-up and coordination skills to ensure timely completion of tasks
Work Environment and Reporting
The Administration Officer will work closely within the Facilities Management team and report directly to the Lead – Facilities Management. The role requires coordination between various internal departments and subcontractors to address operational challenges and ensure compliance with company standards.
Assessment Process
Candidates will undergo several assessments, including language proficiency to evaluate grammar and vocabulary, reading comprehension for understanding business communications, and business communication tests to judge professional writing abilities. Additionally, computer skills will be assessed through software proficiency tests focusing on Microsoft Word, Excel, PowerPoint, and typing speed and accuracy evaluations.
