Job Overview

We are seeking a skilled HSE Document Controller to join our team supporting a major EPC project for Saudi Aramco in Riyadh, Saudi Arabia. The successful candidate will be responsible for managing and coordinating all HSE-related documentation, ensuring accuracy, accessibility, and compliance with project and client standards.

Key Responsibilities

  • Manage, organize, and control all HSE documents, including records, registers, correspondence, and reports.
  • Receive, register, track, distribute, and archive HSE documentation according to project procedures.
  • Maintain document numbering, revision control, distribution lists, and transmittals to ensure proper document flow.
  • Handle various HSE records such as procedures, risk assessments, job safety analyses (JSA/JHA), inspection and audit reports, permits, training certificates, and incident documentation.
  • Maintain both electronic and physical filing systems for quick retrieval and reference.
  • Monitor document revisions closely and withdraw obsolete documents from circulation.
  • Prepare and maintain comprehensive HSE document registers and trackers.
  • Coordinate with cross-functional departments including HSE, QA/QC, Engineering, Construction, and Document Control teams to facilitate timely document processing.
  • Follow up on pending approvals, reviews, comments, and document returns to ensure smooth workflow.
  • Assist with the preparation of documentation and records for client and Aramco audits and inspections.
  • Maintain accurate records of HSE training sessions, competency certificates, toolbox talks, safety meetings, inspections, and observations.
  • Ensure confidentiality, accuracy, and secure preservation of all project-related documents.
  • Regularly prepare and report on document status updates to the HSE Manager and project leadership.
  • Support additional document control tasks as assigned by the HSE management team.

Required Skills and Qualifications

  • Diploma or Bachelor’s degree in Document Control, Business Administration, Engineering, HSE, or related disciplines.
  • At least 5 years of document control experience, preferably within Oil & Gas, Petrochemical, Construction, or EPC projects.
  • Demonstrated experience supporting HSE or Safety departments in document management roles.
  • Prior involvement in Saudi Aramco projects is strongly preferred.
  • Good understanding of HSE documentation types, project document control procedures, and registers.
  • Proficient with Microsoft Office applications, especially Excel and Word.
  • Experience working with electronic document management systems is an advantage.
  • Strong English communication skills, both written and verbal, with effective reporting abilities.
  • Excellent organizational skills, attention to detail, and capability in document tracking.

Preferred Qualifications

  • Hands-on experience in managing large volumes of HSE documentation and audit records.
  • Familiarity with Saudi Aramco’s document control requirements and client-specific protocols.
  • Immediate availability and transferable Iqama status are preferred.
