Job Summary:

The Document Controller will be responsible for managing and controlling all project-related documents and ensuring that they are properly filed, stored, and accessible. This role involves maintaining document management systems, ensuring compliance with company standards, and facilitating effective communication within the project team.

Key Responsibilities:

• Document Management: Organize, maintain, and track all project documents, including contracts, drawings, specifications, and correspondence.

• Version Control: Ensure the latest versions of documents are distributed to relevant stakeholders and maintain a clear version control system.

• Compliance: Ensure that all documents comply with company policies and relevant industry regulations.

• File Organization: Develop and implement filing systems for easy retrieval of documents; ensure physical and electronic documents are stored securely.

• Collaboration: Work with project managers, engineers, and other stakeholders to gather necessary documentation and facilitate smooth workflows.

• Record Keeping: Maintain accurate records and databases of all documents and transactions related to the project.

• Document Retrieval: Respond to requests for information and documentation promptly and accurately, ensuring stakeholders have access to the documents they need.

• Training: Provide training and support to team members on document management processes and systems.

Qualifications:

• Bachelor’s degree in Business Administration, Information Management, or a related field (or equivalent experience).

• Proven experience as a Document Controller or in a similar role, preferably within construction, engineering, or project management.

• Strong organizational skills with attention to detail.

• Proficiency in document management software and Microsoft Office Suite.

• Excellent communication skills, both written and verbal.

• Ability to work independently and manage multiple tasks effectively.
