Job Overview

We are seeking a dedicated Sales Coordinator to manage the full lifecycle of sales inquiries and ensure smooth collaboration between the sales team, operations, and management divisions. This position supports the Division Manager by handling executive tasks and contributing to critical business efforts such as tender submissions and detailed strategic reporting.

Key Responsibilities

The Sales Coordinator will be responsible for:

  • Receiving and logging sales inquiries from various channels including email, phone, website, and walk-ins.
  • Assigning inquiries to the relevant sales staff for inspections or site visits.
  • Following up to guarantee timely quotation preparation and submission.
  • Maintaining an organized log of all inquiries, client communications, and their resolution status.
  • Assisting the sales team in preparing accurate estimates and proposals for both residential and commercial clients.
  • Drafting and sending client correspondence on behalf of the sales team and Division Manager.
  • Coordinating internally with operations, accounts, and administrative teams to ensure seamless client service.
  • Preparing minutes of meetings, managing calendars, scheduling appointments, and coordinating follow-ups for the Division Manager.
  • Supporting tender processes by preparing and compiling technical and financial documents, ensuring deadlines are met, and maintaining comprehensive tender records.
  • Participating in business development initiatives across diverse service divisions such as Pest Control, Cleaning, Security, MEP, and Fire & Safety.
  • Collaborating with cross-functional teams on lead generation, pipeline reporting, and marketing campaign alignment.

Required Skills and Qualifications

  • Excellent verbal and written communication skills.
  • Familiarity with pest control or facility services is an advantage.
  • Proficient in MS Office programs, email communication, and scheduling software.
  • Strong organizational skills with the ability to manage time effectively and handle multiple priorities simultaneously.
  • Detail-oriented with a proactive approach to responsibilities.
  • Fluent in English, both spoken and written.

Performance Expectations

  • Respond to all sales inquiries within 24 hours.
  • Send quotations within 48 hours after inspections.
  • Accurately prepare minutes of meetings and manage the Division Manager’s calendar promptly.
  • Ensure zero missed deadlines for tender submissions.
  • Maintain clear and effective communication with all internal and external stakeholders.
