Job Overview
We are seeking a dedicated HR and Administration Officer to manage daily HR functions and administrative operations. The successful candidate will oversee tasks such as recruitment, onboarding, payroll, attendance tracking, visa processing, employee record management, government compliance, and general office administration. This role is essential for ensuring smooth HR processes and supporting organizational efficiency.
Key Responsibilities
The HR and Admin Officer will be responsible for the following duties:
- Recruitment & Onboarding: Coordinate hiring activities including interview scheduling and candidate communication. Prepare offer letters, contracts, and onboarding documentation while maintaining accurate employee files. Manage visa, medical, and Emirates ID processes, liaising with PRO and government entities.
- Attendance and Leave Management: Track daily attendance, manage leave balances, monitor absenteeism and lateness, and maintain updated employee records. Prepare attendance reports to facilitate payroll and management decisions.
- Payroll Coordination: Support monthly payroll by validating attendance, overtime, deductions, and advances. Ensure WPS compliance and maintain thorough payroll documentation, including salary advance and final settlement details.
- Government Compliance: Work closely with PRO and relevant departments for visa renewals, cancellations, and MOHRE-related procedures. Maintain labour contracts, work permits, and coordinate employee documentation with GDRFA, MOHRE, Tawjeeh, and other regulatory bodies.
- Office Administration: Handle documentation, filing, correspondence, and manage office supplies. Maintain company licenses, agreements, and records while supporting accommodation arrangements and general office needs.
- Accommodation & Camp Administration: Organize employee housing assignments, keep accommodation records current, manage maintenance and utilities, and oversee related agreements and renewals.
- Vehicle & Asset Management: Maintain records of company vehicles, ensuring up-to-date registration and insurance. Manage asset inventories and coordinate vehicle-related administrative tasks.
- Employee Relations & Disciplinary Actions: Address employee inquiries and HR issues, prepare disciplinary documentation, and assist management with resolving workplace concerns in line with company policy and UAE labour laws.
- HR Reporting: Generate daily, weekly, and monthly reports covering manpower, attendance, leave, payroll, visa statuses, and document expiration to maintain transparency and operational control.
Required Skills and Qualifications
- Bachelor’s degree or diploma in Human Resources, Business Administration, or related fields.
- 2 to 4 years of comprehensive HR and administration experience within the UAE.
- Strong understanding of UAE labour laws, employment practices, and government procedures including MOHRE, WPS, GDRFA, and Tawjeeh.
- Proven experience in recruitment, payroll processing, leave management, and employee documentation.
- Excellent communication and interpersonal skills, with a strong ability to organize, prioritize, and follow up on tasks.
- Proficiency in MS Office applications, especially Excel and Word.
- High degree of confidentiality handling sensitive employee information.
- Ability to work independently while managing multiple responsibilities efficiently.
