Job Overview
The Documents Controller plays a vital role in ensuring that all operational and staff-related documents are accurately maintained and organized to support smooth business operations. This position is responsible for managing both digital and physical records, making sure they are up to date, properly versioned, and compliant with company standards and regulatory requirements.
Key Responsibilities
The successful candidate will handle the receipt, registration, filing, and maintenance of all relevant documents, ensuring they follow strict naming conventions and access controls. This role demands meticulous tracking of document expiration dates, renewals, and status updates through various registers and document control systems. Removing outdated or superseded files in line with company procedures is essential to maintain accuracy and compliance.
In addition, the Documents Controller coordinates closely with Operations and HR teams to ensure that staff and client documentation remains current and complete. Confidentiality and data protection are critical elements of the role, requiring adherence to company policies. The Controller will provide regular reports and updates to management regarding document workflows and staff records management.
Required Skills and Qualifications
- Bachelor’s degree in Business Administration, Records Management, or a related field, or equivalent experience.
- Proficiency in English (spoken and written) is mandatory.
- Experience in document control, records management, administration, or operational support is preferred.
- Basic knowledge of compliance standards and document retention policies.
- Competency in using document management systems, spreadsheets, and internal platforms for record keeping.
