Job Overview
We are seeking a detail-oriented Administrative Assistant to provide essential support in the Purchase and Procurement department. The ideal candidate will manage daily office operations, coordinate communications, and handle documentation efficiently to ensure a smooth workflow within the organization.
Key Responsibilities
The role involves a variety of administrative and clerical tasks including:
- Providing comprehensive support to management and various departments.
- Managing incoming and outgoing correspondence such as emails, letters, and phone calls.
- Organizing and maintaining office files, records, and documentation systematically.
- Preparing reports, letters, invoices, and other necessary office documents.
- Scheduling meetings and appointments while coordinating office activities to optimize efficiency.
- Monitoring and managing office supplies inventory and liaising with vendors when needed.
- Ensuring the upkeep and proper functioning of office systems and procedures.
Required Skills and Experience
The successful candidate should have:
- At least 2 to 3 years of experience in administration or office management roles.
- Strong familiarity with MS Office Suite and general office procedures.
- Excellent communication and interpersonal skills to interact effectively across teams.
- Well-developed organizational skills with the ability to multitask and prioritize activities.
- The capacity to work independently and consistently meet deadlines.
- Knowledge of documentation, filing systems, and record-keeping best practices.
