Job Overview
We are seeking a detail-oriented Workshop Administrative Controller to join our dynamic team. This role focuses on overseeing financial operations, cost control, and administrative coordination within the workshop environment. The ideal candidate will have a strong financial background, excellent communication skills in both English and Arabic, and the ability to work closely with operational and finance departments to ensure accuracy and efficiency.
Key Responsibilities
The Workshop Administrative Controller will be responsible for monitoring and managing workshop expenses, including labor, parts, and subcontracting costs. Key duties include reviewing and validating job cards prior to financial postings to maintain accuracy and compliance with company policies. You will track maintenance costs, ensuring they are allocated properly to vehicles, contracts, and cost centers.
Maintaining and closing job cards within ERP systems, coordinating with workshop teams to resolve any operational discrepancies, and acting as the main liaison between the workshop and finance teams during invoice processing, accruals, payments, and monthly closing activities are essential functions of this role.
Validating supplier invoices against approved work and purchase orders, preparing detailed reports on maintenance costs, budget adherence, repair expenses, and the status of ongoing work will also be part of your daily responsibilities. Additionally, you will identify areas for cost control and recommend process improvements, supporting audits to ensure compliance with financial controls and corporate policies.
Required Skills and Qualifications
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- 2 to 3 years of experience in finance, cost control, workshop administration, or similar roles.
- Fluent communication skills in both English and Arabic.
- Advanced proficiency in Microsoft Excel and experience working with ERP systems.
- Strong analytical abilities and financial control expertise.
- Exceptional attention to detail and accuracy in data handling.
- Ability to effectively collaborate and coordinate with finance and operational teams.
- Excellent problem-solving skills with a focus on process improvement.
Preferred Experience
- Background in fleet maintenance, automotive workshop operations, or transportation management.
- Familiarity with cost accounting and financial reporting standards.
- Hands-on experience with workshop management software and ERP platforms.
- Knowledge of procurement processes and invoice verification methods.
Work Environment
This is a fully office-based position requiring interaction with both workshop and finance teams to ensure smooth financial operations and accurate reporting.
